Account setup guide for new team members
Use this guide to get your new team members up and running with access to their email and Okta
Completing account setup is required prior to setting up a Warby Parker computer (if applicable).
Okta
Create a new passphrase
- Visit warbyparker.okta,com
- Sign in with your Warby Parker email address and temporary passphrase.
- You will be prompted to set a new password.
Here are the password requirements for your Okta account
Lock out user after 6 unsuccessful attempts
Does not contain part of username
Does not contain first name
Does not contain last name
Restrict use of common passwords
Enforce password history for last 4 passwords
Enable multi-factor authentication
- Visit https://warbyparker.okta.com
- Enter your username (your email without @warbyparker.com) and known temporary password
- Click Configure factor and select the device you’ll be using (iPhone or Android).
- A QR code will appear. Open your authenticator app and scan the QR code.
- Enter the 6-digit authentication code for presented in your authenticator app and click Verify, then Finish.
- Once logged in, the new hire will be prompted to reset their password. This password will also be used for Google Workspace, learn how to create strong passphrases for your accounts.
Google Workspace
Have these handy before you begin:
• An SMS-capable mobile phone number and personal computer• An authenticator application (e.g. Google Authenticator, DUO Mobile, 1Password, etc.)
Sign in and create a new passphrase
- In a new browser window, visit mail.google.com
- Enter the new hire’s email address and their newly created Okta password
Enable 2-step verification
Two-step verification is required to gain full access to resources with your Google Workspace account.
- In your email inbox, click the WARBY PARKER logo on the upper-right, then click Manage your Google Account.
- Select the Security tab, then click 2-Step Verification under the Signing in to Google section.
- Click Get Started and sign in with your @warbyparker.com email address and passphrase, if prompted.
- Enter your mobile number, select Text Message, then click Nextto receive an SMS verification code.
- Enter the code received, then click Next.
- Click Turn On to enable two-step verification.
- On the two-step verification options page, select Set up under Authenticator app.
- Select your smartphone model (Android or iPhone).
- A Set up Authenticator window will appear. Use the authenticator app on your smartphone to scan the QR code, then click Next
- You'll be prompted to enter the 6-digit code presented in the app. Enter the code and click Verify

Troubleshooting account setup issues
Okta login issues
- Make sure to enter your username as first.last, not your full email address. Okta doesn't use your email to logon, but uses the same username and password as Springfield.
- If you don't remember your password, select "Forgot Password" and follow the prompts
- If you've already setup your 2FA in Google Authenticator, you'll need to enter the numbers from Google Authenticator into this field
- If you are receiving an Okta code in Google Authenticator app that doesn't match the code on the Okta site, please submit a ticket to Tech Services to reset your 2FA
If sites aren’t loading properly
- Make sure the device is properly connected to the internet.
- Make sure you’re on a Warby Parker Wi-Fi network or on the VPN (if remote), when accessing internal services (e.g., admin.warby.io)
