Obtaining Your W-2
How do I get my W-2/1095-C
Your digital Tax Forms, Forms W-2 and 1095-C, are available through the ADP employee portal, even if you’re a former employee of Warby Parker. Your physical W-2 will be mailed to your home address on file in ADP by January 31st if you did not choose electronic delivery only.
In order to electronically view your Tax Forms in ADP:
Navigate to Pay > Pay & Tax Statements
Scroll down to tax statements to retrieve your W-2 and download
What if I have not received my W-2?
If you are a current employee and did not receive your W-2 by mail by January 31st, please first log into the ADP employee portal to download a copy electronically. If you need a paper copy mailed to you or your W-2 is not available in the portal, check with your HRBP or email payroll-supportl@warbyparker.com for assistance.
If you are a former employee, please allow up to 2 weeks to receive your W-2 via mail after January 31st. If you still haven’t received it by February 14th, please log in to the ADP employee portal and follow the instructions listed above for electronic W-2 retrieval. If you forgot your ADP password you can select the forgot password option to reset it.
Understanding Your W-2
How do I read my W-2?
Refer to the IRS guidance on the W-2 form, including a description of codes in Box 12 on page 19.
The wages on my W-2 do not match my final paycheck stub. What is the problem?
Your pay stubs include your total earnings for the year, while your Form W-2 is a summary of your taxable earnings, which adjusts your total earnings to exclude non-taxable deductions. To convert from total earnings to taxable earnings, you need to subtract non-taxable deductions, including retirement 401(k) deductions, flexible spending account (FSA) and health savings account (HSA) deductions, medical and dental deductions, etc. These deductions are itemized in boxes 12, 13, and 14 of the W-2.
In any calendar year, taxable wages earned between 1/1 and 12/31 are included on your W-2. Note that wages outside of base pay (including bonuses and equity compensation) are taxed at the required statutory supplemental rates.
My W-2 does not reflect my current salary. Why?
Your W-2 does not reflect your fiscal year salary; it reflects taxable, calendar year compensation.
I am an hourly employee and the check for the last two weeks of 2023 is not included on my W-2. Is this correct?
Yes, This is correct. The Form W-2 is issued on a cash basis. Any compensation paid to you in 2023 is considered 2023 income. The period December 17, 2023 - December 30, 2023 was paid on January 6, 2024 and is therefore not considered income for 2023. It will be part of your 2024 Form W-2.
What happens if you receive more than one W-2?
If you received more than one envelope for your W-2, it could be a duplicate W-2. Review the total earnings to see if they are different. If they are the same, W-2s are printed on more than one page and ADP only places one sheet per envelope; if they are different, see below for some potential explanations.
If you transitioned or were promoted from an hourly to a salaried employee (or vice versa) within the calendar year, you will receive more than one W-2.
If you receive more than one page of a W-2 it’s likely that you are responsible for paying local taxes and they are being deducted from your paycheck. This is just an overflow from the first page of your W-2 and should be retained.
If for any reason you receive multiple W-2s with different information and are not sure why they were received, please submit a support ticket to payroll-support@warbyparker.com
What if I didn’t have any federal or state taxes withheld according to my W-2?
If your earnings are under a certain threshold in any given pay period, you may not have been subject to any federal and state withholding taxes, this does not necessarily mean you will not have a tax liability when filing your taxes, as every tax situation is unique. Please consult with your tax advisor regarding your personal tax situation. You can also update your federal and state withholdings at any time by logging on to the portal and updating your withholding status and exemptions for federal/state.
In addition, you would not have had any federal and state withholding taxes if you claimed an exemption from federal/state withholding on your tax forms for the year. Please review this information by logging into the ADP employee portal at the beginning of each calendar year.
Warby Parker will not correct W-2s for any taxes NOT withheld from your paycheck throughout the previous tax year due to elections made on your federal, state or local tax form.
I am participating in the Employee Stock Purchase Program - what is reported in my W-2?
ESPP deductions are taken post-tax and therefore are not reported separately in your W-2. After each purchase period, if you have sold your shares you will see earnings reflected on your W-2, calculated by taking the fair market value for the shares on purchase date minus the discounted purchase price. See more information within the ESPP FAQ.
How was my equity compensation calculated and how is it shown on my W-2?
Note: Does not apply to all employees; only employees with Equity Related Compensation.
Detail of equity related taxable income and the related tax withholdings can be found in the ETRADE portal. In addition, the income reported on your W-2 related to equity will be shown, as follows:
To obtain additional information regarding your Equity taxable earnings included in your W-2:
Your last 2023 Pay Statement in ADP contains the year-to-date amount of equity earnings, by type
Log into your E*Trade account and navigate to Stock Plan->Holdings from the top menu. Under the heading for each award type (RSU, ESPP, Options) click the “Benefit History” link. From this page, each of your equity awards can be expanded and you can click on the “View Confirmation of Release” link for each release event to see the details of taxable gain, taxes withheld, and shares released.
Potential W-2 Corrections
The Name or Social Security Number (SSN) is wrong on my W-2, what should I do?
Your name and SSN must match the information on your Social Security Card. Send a copy of your Social Security card, the incorrect Form W-2 and a note requesting a W-2 correction to payroll@warbyparker.com
My name changed due to a life event (e.g. marriage). Do I need a corrected W-2?
No, you do not need a corrected W-2 for this reason.
The address on my W-2 is incorrect, what should I do?
A corrected W-2 is not required for a change in address. If an address change is required, please log in to the ADP employee portal and process an address change.
Tax Advice
Why can’t Warby Parker give me tax advice?
Warby Parker does not give tax advice because each individual's tax situation is different. We recommend any staff who inquire about tax and tax laws reach out to a tax professional, such as an accountant, about these questions. If you need to make changes to your federal/state taxes withholding elections, you can always access the employee portal to process updates going forward.
I know Warby Parker isn’t allowed to give tax advice but I need tax help. Where can I get tax help?
For all personal tax questions, we recommend seeking the advice of a tax advisor. If you do not have one currently available, there are tools like LearnVest or one-time services offered by TurboTax you may consider (but we do not recommend or endorse any product or service).
